Cost guide

The cost of an AI agent depends on six things: how much work the agent owns, how many systems it connects to, how ready your data is, which model approach it uses, how many guardrails it needs, and what it costs to run after launch. We don't publish a price range, because the same agent can cost very different amounts in two companies. The sections below explain what moves the cost, so you can compare quotes properly.

How much does it cost to build an AI agent?

It depends on scope more than anything else. An agent that answers questions from your documents is a smaller build than one that acts across several systems and needs approval steps. Ask any vendor for the build cost and the running cost as two separate figures, and for what each one includes. Related: agentic AI development.

What drives the cost of an AI agent?

  • Scope and autonomy: how many steps the agent owns, and whether it drafts only, acts on one-click approval, or acts unattended within agreed limits.
  • Integrations: every system it connects to, such as a CRM, Slack, Microsoft Teams, Jira, Asana, Monday or document storage, adds work. Related: LLM integration.
  • Data: documents and records must be cleaned, split and prepared before an agent can use them. Related: data engineering.
  • Model approach: a hosted model used through an API, retrieval over your own documents, or fine-tuning where it measurably improves results, and self-hosted models where data cannot leave your environment. Related: RAG development.
  • Guardrails: a defined remit, hard stops, escalation and an audit trail, designed in from the start.
  • Evaluation: output quality measured in production, so problems show up as data and not as user complaints.

What does an AI agent cost to run after launch?

An agent keeps using resources after it ships. Models are usually billed by use, hosting depends on where it runs (AWS, Azure or your own infrastructure), and someone has to watch quality and handle incidents.

How do AI agent pricing models work?

Agentic AI pricing usually follows one of four models.

  • Fixed price: a set fee for a defined scope. It suits a clear scope, and a change in scope changes the price.
  • Time and materials: you pay for the work done. It is flexible, and the budget risk sits with you.
  • Retainer: a regular fee for ongoing improvement after launch.
  • Usage-based: you pay as the agent is used, so cost grows with use.

Ask which model a vendor proposes, and what would change the price.

How do you keep the cost of an AI agent under control?

Start with one real workflow and prove it works before the scope grows, so nobody commits budget to an assumption. Map the process first: AI removes the repetitive part of a process but not the need to understand it, and automating a broken process gives you a faster broken process. Use fine-tuning only where it measurably improves results. Related: AI strategy consulting.

FAQ

Why do quotes for the same AI agent differ so much?

Vendors scope different things: build only, or build plus running costs; which integrations are included; whether guardrails and monitoring are included. Ask each vendor to list what is in and what is out before you compare.

Is a pre-built agent cheaper than a custom one?

A pre-built agent that fits your process needs less custom work. A custom agent makes sense when your process, systems or data are specific to you. We have four pre-built agents: Catalyst for sales, Foresight for analytics, Elevate for enablement and Cadence for project delivery.

Does a chatbot cost the same as an agent?

No. A chatbot answers a question when asked. An agent plans steps and acts across your systems, so it needs more integrations, approvals and monitoring.

Who owns the agent after the project?

You should. Our handover includes technical documentation, runbooks and training, so the system becomes something you operate rather than something you depend on us to run.
